SJAI2012 - Last Update
The fields are marked. The tents are up. Tables have been driven all over the place. The scoreboards are all constructed. The Dance equipment is live. The programs have all been stapled. Tournament discs have been counted and partitioned. The dinner for 900 is set. Tonight's pre-tournament dance is about to start.

All is well in St. Johnsbury tournament land.

A few updates:

1) The tournament score reporter pages are now online: Open Divisions, Girls Divisions. Please look them over and let me know if you see any mistakes/issues.

2) Two of the C divisions fields had to be moved to the Lyndon Town School. This means that on SATURDAY, the U POOL of the C-Division (Burlington, South Portland, CVU Red, and North Country) will be playing all of their pool games at the Lyndon Town School.

3) We've pulled together some more water towers but that being said, please bring one with you if you can. It's going to be hot and very sunny this weekend.

4) All pop-tents and chairs need to be kept at least 7 yards off ANY sideline. You MUST pay attention to where you are putting objects close to any sideline. Do NOT setup a tent within 7 yards of ANY sideline.

Plan for some amazing weather this weekend! It's going to be sunny and hot. Plan accordingly.

There will be at least two water towers at each tournament central tent. I would like for there to be more but I am running short on finding enough here in the NEK. So, if you can, please bring a water tower for your team. There will be water filling stations at each tournament central tent and at other various points around each tournament location.

There will be athletic trainers capable of taping at the SJA and LI field locations. EMTs will be on duty at LTS and the Fairgrounds locations who wil not be able to tape players. So, if you have players that need to get taped, please have them come to the SJA or LI field locations before your games start each day.

There will be a mandatory 5-10 minute captain's meeting at 7:45am on Saturday morning.

The girls divisions captain's meeting will happen at St. Johnsbury Academy at tournament central.

The boys divisions captain's meeting will happen at Lyndon Institute at tournament central. (All three boys divisions will have their meeting together.)

Note: Open A and C division games will start at 9:00 while Open B Division games start at 8:30.

All teams are required to have at least one representative at their division's captain's meeting. If you know you are going to be unable to have someone at the meeting, let me know ASAP.

Below you will find the full captain's meeting notes. At the actual meeting I will only be covering a few very important points from the notes. It is your responsibility to make sure you are familiar with the full captain's meeting notes.

Captain’s Meeting Notes

Introductions:
-Tournament Coordinator: Josh Seamon

-Tournament Directors/Scorekeepers: Eimile Bishop (Girls Division - 802.274.6227), Anna Hall (Open A Division - 802.922.2660), Zach Abramson (Open B Division - 802.274.3054), and John McKinnon (C Division - 802.477.3618)
-Trainers/EMT/AMC: Chris Despins (Girls Division), Allyson Halsey (Open C Division), Heather Wheeler (Open B Division, Saturday), and Chelsea Marcott (Open B Division, Sunday), Jay Benitez (Open A Division)
-All Captains and Coaches

All teams
-Start and cap your games on time; others need to play after you
-If the TDs think there is danger from lightning, we will clear the fields. There will be no discussion. The word of the TD is final. 5 horn blasts signals that you must immediately clear the field. A second set of 5 horn blasts means that each team needs to send a representative to tournament central.
-Shower in the locker rooms at SJA, NOT at your host house.
-Important: clean up after yourselves when you move from field to field and at the end of the day.
-No cleats in any buildings please.
-Cursing or insults, including racial or gender slurs, will not be tolerated, either on or off the field.
-No disc spiking.
-If you’re not in the game you cannot make a call or tell someone in the game to make a call.
-We are not playing with softcaps.

Rules and Tie Breakers
-We are using USA Ultimate’s Rules of Ultimate, 11th edition
-All divisions will start with pool play. Championship bracket play will then follow in all divisions. In the case of tied win-loss records, we will use USA Ultimate Tie Breaker manual to determine placement.
-Each team has a copy of the rules in their team packet. Copies of the rules are also available at Tournament Central.

Scoring
-All games will be played to 15. Win by 2 until softcap. Hard point cap at 17.
-Report all scores by calling/texting them into the scorekeeper for your tournament location. Use the text format: “[Team Name 1] Score [Team Name 2] Score”.

Time Between Pulls, Halftime, and Time Outs
-The receiving team must be ready within 70 seconds after the previous goal. The pulling team must release 90 seconds after the previous goal, as per 11th edition rules. Everyone should be polite but firm.
-A five-minute halftime will be taken when the first team reaches 8 pts.
-If neither team has reached the 8 points 30 minutes before the hardcap, a five-minute halftime will be taken at the end of the currently played point.
-Each team is allowed two timeouts per half. No timeouts can be taken after harcap or after a score of 14-14 is reached.

Time Caps and Hard Cap
-Time Cap times are listed on the schedules. Time Cap times must be adhered to regardless of the starting of the game.
-A time Cap is declared after the current scoring attempt is completed. Scorekeepers and coaches must make sure that all teams and players are aware of the Time Cap.
-When a Hard Time Cap is declared and the active point is finished, the game is over unless the score is tied, in which case a final point will be played.
-Immediately after a point is scored you are considered to be in the next point, even if the pull has not happened yet. (There is no time be- tween points.) Half time is considered to be in the next scoring attempt.

Game play
-All games are mandatory and MUST be played. A team that fails to play a game will most likely not be invited to a future St. Johnsbury Academy Invitational.

Spirit of the Game Scores
-Please return your spirit ballot to tournament central immediately after your last game on Sunday.

-The event will take place in the center of the St. Johnsbury Academy Campus

-6:30-8:30pm: Dinner on Stowe Green
-6-10pm: Bouncy Castles, Stowe Green [Yah, four of them.]
-6-10pm: Video games outside The Black Box
-7-10pm: Dance in The Black Box
-7:30pm: All tournament picture, Stowe Green
-7:30 to 8pm: Players vs. Coaches, Stowe Green
-8pm: Coaches and Parents social, Morse Lobby
-You will need to present a pink tournament wristband to gain access to the dinner line
-Tables will be available for anyone that is interested in trading gear

-Use the bathrooms or the porto-potties, NOT THE WOODS. If you don’t know where the bathroom is, please ask at tournament central.

Hello everyone,

Every team needs to look over the master info spreadsheet to see if there are any red boxes on their line. Those are items that must be taken care of before you arrive in St. Johnsbury. Your team will not be allowed to play if those items are not taken care of before you arrive in St. Johnsbury.

Information regarding all of the items referenced on that page is online on the registration paperwork tournament page.

Notes:

1) At this point you should NOT mail missing dinner payments to me. Instead, you should hand off the payment to me or a Tournament Director on Saturday morning.

2) Please delete players who are not coming to the tournament from your online roster.

3) At this point you should NOT mail me copies of your medical authorization forms. You should email me scans of the forms.


The following teams are currently UNABLE to play this weekend because they:
1) Don't have an NCSI background checked chaperone listed on their online roster AND/OR

Hello everyone,

Here are the tournament rankings. If you have any comments, send them over by tomorrow morning at 8am. At that point I will be finalizing the rankings and will send out the exact tournament schedule.

We are running a pre-tournament dance on Friday night from 7 to 11pm on campus here at the Academy. The cost is $1 for Ultimate players. Let me know if your team would like to attend. (This dance is in addition to the one we are running on Saturday night.)

A few important questions for you to ponder:
1) Is your chaperone listed as cleared on your online roster?
2) Have you paid for all your dinner spots?
3) Do any of your players need to pay their membership fee and/or sign their online waiver?

General Schedule Outline
- Games will run from 8:30am to 5:30pm on Saturday
- Games will run from 8:30am to 4:30pm on Sunday
- All games will be to 15, hard cap at 90 minutes. No softcap. 30 minutes between hard cap and the start of the next round. Win by 2 until harcap or 17 is reached.

Girls A division: 6 games each
Girls B division: 6 play 7 games, 1 plays 6 games
Boys A division: 4 play 6 games, 4 play 7 games
Boys B division: 8 play 6 games, 8 play 7 games
Boys C division: 12 play 6 games, 4 play 7 games

For those keeping track: That's 176 total games played (across 27 fields)

- Boys A Division Saturday: Two pools of four play three rounds of pool play. The bottom two teams in each pool will then play cross over games against the top 4 teams from the B division. The cross over games will happen at Lyndon Institute. The winners of the cross over games will go to the A division on Sunday and the losers will go to the B division on Sunday.
- Boys A Division Sunday: 8 team standard single elimination bracket. All games at Lyndon Town School. Every team gets 3 games.
- Boys B Division Saturday: Four pools of four play 3 rounds of pool play. After pool play the top team in each pool will play one of the bottom 4 teams from the A division. Winners go to the A division and losers stay in the B division. The bottom four teams after pool play play the top 4 teams from the C division. Winners stay in the B division and losers go to the C division. All cross over games happen at Lyndon Institute.
- Boys B Division Sunday: Top 2 teams in each pool play a standard 8-team single elimination bracket for 1st through 8th place. The bottom two teams in each pool play a standard 8-team single elimination bracket for 9th through 16th place.
- Boys C Division Saturday: Four pools of four play 3 rounds of pool play. After pool play the top team in each pool will play one of the bottom 4 teams in the B division. The winners go to the B division and the losers stay in the C division.
- Boys C Division Sunday: Top 2 teams in each pool play a standard 8-team single elimination bracket for 1st through 8th place. The bottom two teams in each pool play a standard 8-team single elimination bracket for 9th through 16th place. All teams get 3 games.
- Girls A Division Saturday: Two pools of 4 play three rounds of pool play.
- Girls A Division Sunday: Standard 8-team single elimination bracket play. All teams get 3 games.
- Girls B Division Saturday: 7 teams will play a 7 round, round robin. 4 rounds played on Saturday.
- Girls B Division Sunday: 3 more rounds of round robin play, followed by 1v2, 3v4, 5v6.

Simple summary:
- If your teams starts in the Open A division your can win the Open A or B divisions.
- If your team starts in the Open B division your team can win the Open A, B, or C divisions
- If your team starts in the Open C division your team can win the Open B or C divisions.
- If your team starts in the Girls A division division your team can win the Girls A division.
- If your team starts in the Girls B division division your team can win the Girls B division.
(There is no cross over between the Girls A and B division.)

Three things:

1) All housing is set at this point. If you have any housing issues, please let me know ASAP.

2) Please report all of your scores to http://scores.usaultimate.org/scores/. I will be finalizing tournament rankings and schedules by this Monday at 6pm.

3) Several teams have major registration paperwork items that they need to finish before their team will be allowed to play. Many teams owe dinner checks. Everyone should look over the master info spreadsheet to see if they are missing anything and if so, please get the items completed ASAP.

Hello everyone,

All housing assignments were sent out last week. If you signed up for housing and have yet to get an email connecting you with your host, let me know immediately.

My goal is to send out the first draft of a tourney schedule in the next 48 hours.

In order for the schedule to be as accurate as possible, I need all of you to report all of your game scores to the USA Ultimate Score Reporter.

Ranking coming into the tournament will be almost entirely based off of your team's RRI number.

Open teams: You must report 5 scores or more in order to have a valid RRI number.
Girls teams: You must report at least 2 scores in order to have a valid RRI number.

If your team doesn't have a valid RRI number, I will be forced to guess where your team should be placed. I do not want to have to do that for anyone.

Please take a minute to look up your team in the score reporter and input any missing scores. Get this done ASAP.

A quick update on the tournament format and field locations:

0) Maps of all four field sites are online right here.

1) All girls games will be played at St. Johnsbury Academy, located at 1000 Main St., St. Johnsbury, VT.

2) The top 8 open teams will be in the A division and will play the majority of their games at the Lyndon Town School, located at 2591 Lily Pond Road in Lyndonville, VT. (A few A division games will be played at Lyndon Institute on Saturday in the late afternoon.)

3) The middle 16 open teams will be in the B division and will play all of their games at Lyndon Institute, located at 168 Institute Circle, Lyndon Center, VT.

4) The bottom 16 open teams will be in the C division and will play the majority of their games at the Caledonia County Fairgrounds, located at Fairgrounds Road in Lyndon, VT. (A few C division games will be played at Lyndon Institute on Saturday in the late afternoon.)

Everything you need to know about housing at the St. Johnsbury Invite is online right here. Please make sure you are very familiar with all of the housing information.

We're in the process of making our final team to host assignments. Our goal is to start sending out introductory emails to teams and hosts in the next 7-10 days. If you do not receive your host information by Monday, 4/30, please let me know.

Also listed below are the teams that have requested housing. Please check this list carefully and make sure your team's entry is accurate. If your team is not on the list it means that you have not requested housing. If you would like to be added to the list, please let me know ASAP.

Hello everyone,

Everything is on track for the 2012 St. Johnsbury Invite to be the best SJAI to date!

1) The hard deadline for singing up for dinner spots is Monday, 4/23. By then, please let me know if you'd like to change anything about the number of dinner spots on the master info spreadsheet.

2) Please make sure you report all of your games leading up to the event in the USA Ultimate Score Reporter System. The more games you report the better. I will be using the USA Ultimate rankings to determine tournament seeding. The rankings become more accurate as more games are entered.

To make things perfect, I would really like it if the following paperwork items could be taken care of immediately.

Other tournament updates

1) Our bouncy house structures are now confirmed. Three of the four structures are pictured below.

2) 56 teams from 38 schools, 8 states, and 1 province will be attending the 2012 St. Johnsbury invite.

Please email me sooner rather than later if you have any questions about any aspect of preparing your team to attend the St. Johnsbury Invite. I love answering questions.

Here's what you need to know:

1) REGISTRATION PAPERWORK OVERVIEW

1) Registration paperwork is not hard, but it can take a while to complete. Please, please, please make sure you are very familiar with all of the information on that page... now. Not in a couple weeks or a month. Now. Please. It is never too early to start the registration paperwork. All paperwork needs to be done by April 6th.

2) Start your online roster NOW. This takes about 1 minute to complete. You don't even have to add any players to your roster yet. Just create the blank roster in the USAU online rostering system. Step by step instruction covering how to create your roster are online right here. The following 17 teams have created their roster. Thanks!

3) All teams MUST have at least one NCSI background checked chaperone with them at all times. The NCSI process can take up to 7 business days or more to complete. This is a registration step you absolutely cannot wait on. Your NCSI chaperone must be listed on your online roster. This process can't be rushed. You can learn all about and start the NCSI background check process right here.

4) Breakmark is returning to provide an amazing array of tournament gear. Five Ultimate and Savage Ultimate will be providing items for team packs. Our Saturday night event is shaping up to be unreal. The Dartmouth Big Green Bus will be there. Our three field sites are looking great.
