SJAI 2008 - Post Tourney Email

Hello everyone,

Thank you, thank you, thank you for such a wonderful weekend of Ultimate!

As much as I plan, connive, bribe, and maneuver, the success of the SJAI really comes down to the teams that end up attending. It was a pleasure to organize, interact with, coach against, watch, and cheer with all of you.

In this email you will find information regarding:

+ROSTERING PAPERWORK
+POST TOURNAMENT SURVEY
+MEDIA
+NUMBERS
+NEXT YEAR

ROSTERING
Overall you did a GREAT job at getting paperwork in. That being said there are still some liability waivers, player dues, and chaperone waiver forms that need to be sent in to the UPA. Remember that a chaperone waiver form needs to be sent in for EVERY UPA event that you attend. As far as I know the following teams need to send one in: Beacon, Belmont Hill, Columbia B, Lincoln Academy, NMH Girls, Milton, Newton South, Spaulding, St. Paul's, Stuyvesant, Watchung Girls, Watchung Boys. You can download the chaperone waiver form right here (PDF). As for liability waiver forms and player dues, do me a favor and recheck your rosters. Some of you have players that are missing one of those items. Some of those players didn't end up attending the tournament, but some did. If someone is missing an item and didn't attend the event, please email Melanie ( ) at the UPA and ask her to drop the player from your roster. When you email her make sure to give her your team name, the player name, and their UPA # if possible. Please, please take care of this NOW. Please?

+POST TOURNAMENT SURVEY
I've put a post-tournament survey online right here. The survey will only take 5-10 minutes to complete and the information you provide is SUPER, SUPER, SUPER helpful. So, if at all possible, please complete the survey and let everyone on your team know about it.

+MEDIA
We made the local paper this morning. The article can be found online right here. As for our own media, SJA photographers took over 4,000 pictures throughout the weekend... but we'd like to get our hands on more! If you took photos or video of the event it would be wonderful if you could either send me a link pointing me to where they are posted online, or send me the data on a CD or DVD. My mailing address is Josh Seamon, 1000 Main St., St. Johnsbury, VT 05819. Links to all of the photos that we put online will be posted on the media page.

+NUMBERS
We managed to collect scores for 108 of the 109 games played. Even more mind boggling is the fact that we managed to collect spirit score sheets from 35 of 35 teams. Thank you for being so good reporting yours game and spirit scores! Links to each of the score reporter pages (including spirit scores) can be found on the results page.

+NEXT YEAR
Yah, that's right, it's never too early to start planning :) I don't have anything set quite yet, but I am looking at the same weekend in May next year: 5/16-17.

That's it, I'm off to nap.

- Josh

PS. I still take full responsibility for the weather :)

SJAI 2008 - Final Email
Hello everyone,

This is (hopefully) the last mass email I will send out before this weekend's tournament. Hopefully :)

This email covers:
+WEATHER
+TEAM REGISTRATION
+UPDATED SCHEDULES
+TRAINERS
+ROSTERING
+WATER
+ODDS AND ENDS

WEATHER
You can find weather reports for this weekend here, here, and here. All three forecasts say about the same thing for both Saturday and Sunday: Highs in the mid 50s with a strong chance of some showers/rain. Unless the weather is MUCH worse than that, our field access will not change. So... plan on playing in wet conditions.

+TEAM REGISTRATION
Team registration will run on Friday from 6 to 10pm on campus at St. Johnsbury Academy, in Severance, room 19. The purpose of team registration is to give teams a chance to hand off any last-minute paperwork and money and for them to just check in and say hi to the tourney organizers. You can find Severance's exact location, as well as where to park, on this map. It would be nice if someone from each team would check in during registration, but it's not 100% necessary.

+UPDATED SCHEDULES
A few small tweaks had to be made to the schedules. The updated schedules are attached.

+TRAINERS
The trainer that was assigned to the boys field location (Lyndon Institute) on Saturday has had a recent medical emergency that is preventing him from working on Saturday. We are looking for a replacement but there is a chance we won't find one. So, if any boys want/need to get taped up or just see the trainer on Saturday, they will need to do that before games begin on Saturday at the St. Johnsbury Academy Campus. (Where the captains' meeting for everyone will be held.) We do have a trainer for the LI campus on Sunday.

+ROSTERING
If you're missing paperwork, please get it DONE NOW. I will accept paperwork during team registration, but not during the tournament. Do not hand me cash. I will only accept checks. Please make sure that you have a chaperone form on file with the UPA. Please make sure all your players have sent in Liability Waivers to the UPA. Please make sure all your players have paid their UPA dues.

+WATER
There will be water spouts and water towers at each field location that players can use to fill their own water bottles. We will not be providing water jugs to fields. Please make sure your players bring their own water bottles.

+ODDS AND ENDS
- Please remember that hosts are only providing floor space to sleep on and bathrooms. Nothing else. All showers MUST be done at St. Johnsbury Academy. Teams are responsible for arranging their own breakfasts and lunches. Teams will get large team boxes and there will be a PB&J station.
- Make sure you bring some kind of gift for your host.
- All teams MUST have a representative at the captain's meeting unless they have contacted me about missing the meeting.

Okay.... that's it.

Questions? Comments? Concerns? ..... You know how to find me.

- Josh
10 days and counting...

[Wednesday, 5/7 @ 1:28pm]

I just sent this email out to everyone attending the 2008 St. Johnsbury Academy Invitational:

Hello everyone,

In this email you will find information on the following topics:

+HOUSING
+ROSTERING
+SCHEDULING
+IMPORTANT NOTES

Please make sure you read through all of the following information and contact me ASAP if you have any questions.

+HOUSING
All teams that requested housing have been assigned hosts. Email have been going out over the last couple days connecting teams with hosts. If you have any questions at all about housing, please contact the housing coordinator, Rae Ann Knopf, at . Please remember that hosts are providing floor space only and that teams are responsible for their own breakfasts.

+ROSTERING
Overall the rostering situation is quite good, but there are still quite a few teams that are missing liability waivers and/or fees for several of their players. Only those players listed on your online roster will be allowed to play. If you submitted your roster to the UPA in paper form, it will be on the online roster. If you absolutely must, you may submit paperwork during the Friday night registration. But again -- only if you absolutely must. To find out the status of your roster login to your upa.org account and find out -- All the info that I have is also available to you. Please also make sure you've sent in a chaperone form.

Each team's rostering status is summarized in the "Roster" column on this spread sheet. The first number is how many people are currently okay to play. The second number is how many players are missing their liability waiver and/or UPA dues. PLEASE CHECK THIS LIST NOW TO MAKE SURE IT'S ACCURATE. To find out what you're missing, login to your account and check your roster. Do this now.

+SCHEDULING

Preliminary schedules are attached. Please look them over and let me know if you have any questions or see any mistakes. Here's the scheduling summary:

Girls: As hard as I try I can never seem to quite make it to a nice number of teams. This year we have 9 with no clear break down of A and B divisions. So, what we're going to do is run a 9-team round robin. Every team will get 8 games to 11. Final tournament placing will be determined by record, then head to head, then head to head point diff, the common opponent point diff. For more info see the attached schedule. Since it's a 9 team round robin the initial ranking isn't that important. So, I've come up with an initial ranking that works well for some specific team's bye requests.

Boys A Division and NEPSUL: There will be two pools of 4 in each division. After pool play the teams are re-ranked and placed in a standard championship bracket. See the attached schedule for more info. Pools will be determined on the morning of 5/12. If you're playing games this weekend please make sure you input them into the UPA's scoring database by Sunday night.

Boys B division: There will be two pools of 5. After pool play the top 4 teams will go straight to semis. The middle four teams will play in the 5th-place bracket, and the bottom two teams will play for 9th/10th. See the attached schedule for more info.

+IMPORTANT NOTES
- All games are 100% mandatory. Skip a game and you will not be invited back next year.
- At least one chaperone MUST stay with each team at ALL times.
- Spiking is not allowed.
- Everyone is invited to the Saturday night dinner/dance/trade night regardless of if you're eating dinner there or not.

I will be sending out one more email early next week with final boys pools and last minute important reminders.

Cya soon,

- Josh
